QUICK START
The following steps are the approaches that System Administrators should use to get ResSched ready for operation by general users. You are not limited to these approaches, but they will usually save you time later on.
These steps assume you have (1) already established a central shared folder on your server for ResSched data, (2) installed ResSched on at least one workstation, and (3) entered the correct path or mapped drive for the shared folder in the Start In property of the ResSched Shortcut.
Before you begin entering information in ResSched determine whether:
you will be limiting the number of your general users that can book specific resources; or
all or most of the general users will be able to book all or most of the resources.
ResSched offers you three ways for establishing access rights to resources for general users.
1. You can specify which general users can book a specific resource when you create the resource. To use this option, you must have established the users and user groups ahead of time. Later, any new users must be added to the resource manually or by option 3.
2. You can specify that all general users can book a particular resource. This will apply to both existing and new users.
3. When you create a new user, you can specify that the user be authorized to book all existing resources. The user will then be added to the list of authorized users for all resources. For any new resources added later, you must add the user manually to that resource as in option 1.
If you will be limiting the number of your general users who can book specific resources, you should add as many users as possible to ResSched before adding the resources. If you have any sub-groups of users who will be allowed to book specific resources, you should also create ResSched user groups before adding resources. Later, when you are creating resources, you will be able to specify all the general users who can book the resource from a complete list of users and user groups.
If you intend that most but not all general users will be able to book all or most resources, you should add as many resources as possible before adding any users to ResSched. Leave the Users Authorized to Book section blank when creating the resource or check the 'All general users are authorized to book' box. Later, when you are adding users to ResSched, make sure the 'Authorized for all resources' box is checked before clicking OK to add the user. After adding all the users, you can go back and edit any specific resources that should not be available to all general users.
Important: Before releasing ResSched to your users, review Multi-Day and Repeat Bookings to determine if you should set the System Preferences to 'Use multi-day bookings'.
