Scan a Client for a Week Window


The Scan a Client for a Week window displays all bookings for one client for a week. You may choose between horizontal or vertical display formats. In the horizontal format, days of the week are listed down the window and time slots are listed across, whereas in the vertical format, time slots are listed down the window, with the days of the week listed across. Bookings are displayed as boxes at the intersections of the relevant time slots and weekday. The length of the box is determined by the length of the booking. You can view or change the complete booking information by double clicking the box.

The starting week day is set by the System Administrator in the Update System Preferences window.

WARNING:  Because of conflict checking, it is unlikely that a resource will be booked more than once for the same time period. This is not true for clients. There is no conflict checking, and in cases where the client is an organization, it will often have different bookings using the same time period. When a conflicted booking occurs, it will be placed over the other booking in the display, making both illegible. If this happens, choose the Browse Bookings window, and then the By Client tab.

The display is controlled by the values entered at the top of the window. Initial values are taken from Scan settings in the Update User Preferences window. Click the Go button to display the bookings using the values in the fields at the top of the window. If the word Go is red, the display no longer reflects those values and needs to be refreshed.  

If you have assigned status colors and then assigned a status to any booking, the chosen color will appear in the scan display for that booking when you select Status as the option in the Color Source drop-down list.



Color Source Drop-down list to select whether the colors of the booking, resource, or booking status are used in the display.

Client   The client to be scanned. Enter the name of client or click the Down Arrow button to select from a table of existing clients.

Week Includes   A date in the week to be scanned. Enter the date directly or click the Calendar button to call a look-up calendar for selecting the date.
 

Begin/End  Beginning and end of the period you wish to scan.

Interval  Choosing a small time interval will allow you to see bookings for even short periods of time.

Text  The text to be shown in the booked time slots. You can choose among showing no text, the booking name, the resource name, or mixed, which is a combination of booking and the primary resource of the booking.

Width/Height  You may change the dimensions of the columns and rows.


To view or change the details of a booking, double click a box representing the booking.

To add a new booking, click the Add button. If a client has been selected in this window, that client's name will appear in the Add/Update Booking window.

You may add a new booking simply by placing the cursor on a desired, empty time slot and then double clicking. The Add/Update Booking window will appear and the start time, date, and client information will be filled in as deduced from the cursor position. Confirm by clicking the OK button. Also notice that as you move the cursor across the bookings (without dragging) that the time is displayed above the cursor.

You may also drag an existing booking to another time slot. The Add/Update Booking window will appear and display the existing booking, but with the new time and date information. Confirm by clicking the OK button. NOTE: You cannot drag an existing booking if 'Use multi-day bookings' has been turned on in System Preferences. Existing bookings cannot be dragged and new bookings cannot be inserted by clicking a time slot if you are accessing ResSched through the Web module.

To quickly scroll up and down the window, click above or below the slider button in the vertical scroll bar rather than using the arrow buttons or dragging the slider button.
