Browse Bookings Window




The Browse Bookings window is accessed by clicking Booking>Browse Bookings from the main menu or the toolbar. The Browse Bookings window displays all the bookings in ResSched. You can sort or filter these bookings by clicking tabs at the top of the window.  

Only bookings that occur on and between the Display From and To fields are displayed.  The default period is a month starting with today's date. Use the buttons to call a look-up calendar for selecting the dates.  

The Include Inactive check box allows users to include (checked) or exclude inactive bookings in the display and printed output.

If you selected display colors for various types of bookings in System Preferences, and assigned a status to each booking, the start and end times of those bookings will appear in the assigned colors.

Note: If 'Allow multi-day bookings' has been checked in System Preferences, there will be a second line for each booking with the end date and time for the booking.

LIST BOXES

Booking Information   Large list box with the weekday, date, time, booking, client, primary resource and units. To make the window easier to view, the day and date are shown for only the first booking of the day.

Other Resources   Small list box that displays the name and number of units of all the other resources involved with the highlighted booking that are not the primary resource.

TABS

By Date   All bookings are displayed in date/time order.

By Resource   All bookings for a specified resource are displayed in date/time order. Clicking this tab automatically calls the Browse Resources window from which you can select the resource.

By Client   All bookings of a user-specified client listed in date/time order. Clicking this tab automatically calls the Browse Clients window from which you can select the client.

By Resource Group   All bookings of each resource in a user-specified resource group are displayed, sorted by resource and then listed in date/time order. Clicking this tab automatically calls the Browse Resource Groups window from which you can select the resource group.

By Project All bookings of a user-specified project listed in date/time order. Clicking this tab automatically calls the Browse Projects window from which you can select the project.

BUTTONS

Open   View or change the details of a booking. Clicking this button calls the Add/Update Booking window having the details for the highlighted booking.

Add   Add a new booking. Clicking this button calls a blank Add/Update Booking window. Note: depending on which tab you have chosen (By Resource; By Client; or By Project), when you click the Add button, the name of the resource, client, resource group or project will be passed to the Add/Update Booking window.

Delete   Deletes the highlighted booking. You are prompted to confirm this action.

Print  You may print a report on any of the listed items.

 1.  Click the Print button. The Select end of schedule window appears.

 2.  Click the Calendar button to bring up the Calendar window and then choose an end date. Select whether the browse should be printed in landscape orientation and whether the schedule should be previewed before printing.  

 3.  Click the OK button on the Select End of Schedule window. If you have chosen to use Microsoft WordŽ to print reports, your documents will be generated using WordŽ. Otherwise, the Report Preview window appears if you selected preview in Step 2.

Print 1  Prints the information about the highlighted booking

E-mail 1 E-mail the information about the highlighted booking to the client of the booking.

If bookings status is enabled, bookings that are not the default status bookings (normal) will be accompanied by the first character of their status label when they are printed.
